Office Services Clerk — Operations

Regular, full-time

Do you have superior customer service skills and a passion for helping people? Are you able to think quickly on your feet and defuse difficult situations? This role in the Operations department is responsible for professional and efficient managing of visitors, consumers, telephone calls and messages.

BCCNP is the college empowered under the Health Professions Act to regulate the practice of all licensed practical nurses, registered nurses, registered psychiatric nurses and nurse practitioners in British Columbia.   • As recorded in the Collective Agreement with MoveUP Together (COPE Local 378), the responsibilities of the role will include the following:
  • Perform routine word processing tasks to produce, with the aid of existing templates, routine reports, correspondence, memoranda, standard office forms and facsimiles.
  • Maintain non-complex filing, and record systems. Assist in reproduction of documents (photocopying, collating, etc.)
  • Perform routine data entry tasks using the organizations software and other online systems
  • Greet and receive visitors, answer phone calls, take messages, answer routine questions, gather or relay standards or straightforward information
  • Receive, sort, distribute and process facsimile transmissions, mail and courier packages
  • Maintain appropriate levels of standard office supplies as directed
  • Make office equipment and room booking arrangements as required; perform general catering duties, including prepare meeting rooms for scheduled use, supply refreshments, and clean afterwards
  • Generally, maintain tidy work areas
  • Provide similar clerical support to other departments or to float to other areas of the organization to provide support of a similar nature as required​

Education, qualifications & skills

Our ideal candidate:

  • Holds a secondary high school diploma
  • Has experience using Microsoft office software applications, in particular Word, Excel and Outlook
  • Types at least 40 wpm
  • Can exercise some independence of judgment and action while under direct supervision
  • Adheres to established guidelines, procedures and practices
  • Works cooperatively and collaboratively with others and makes a positive contribution to the team
  • Adapts to changing priorities
  • Maintains confidentiality of information received in work
