If you answered yes, the BC College of Nursing Professionals (BCCNP) has an exciting opportunity for an Executive Coordinator that may be right for you. This role is a regular full-time position with the College.

In this role, you will provide confidential, senior administrative support to the Registrar/CEO, the Chief Officers, and Board and Committee members to ensure the smooth running of the Executive Office. The EC works proactively and independently to balance priorities and workflow to provide timely, efficient and effective administrative services. This position will require a high attention to detail, strong interpersonal skills and the ability to be flexible and adaptable in juggling different priorities and needs.

What you will be doing

Reporting to the Registrar/CEO, you will manage, organize and coordinate administrative services for the Registrar/CEO, the Leadership Team, BCCNP staff across the organization, Board and Committee members and various external stakeholders.

Responsibilities

  • Act as first point of contact for matters referred to the Registrar/CEO Office, resolve problems and take necessary follow-up action as appropriate
  • Produce and distribute a variety of documents including confidential correspondence, meeting agendas, minutes and reports
  • Track, read and analyze all incoming internal and external correspondence, Registrar/CEO email, submissions and reports to prioritize requests. Organize and coordinate background materials for meetings and teleconferences, prepares agendas, records minutes and tracks completion of action items
  • Provide confidential support to the Registrar/CEO in personnel matters related to the Executive Team, including terms of employment, salaries, performance management and termination of employment contracts
  • Manage the Registrar/CEO calendar and arranges or directs the arrangement of appointments, schedules and itineraries for the Registrar/CEO and Board chair and vice-chair
  • Ensure logistical support for Board meetings and the Annual General Meeting and meetings involving the Registrar/CEO, including booking meeting rooms, accommodation and catering
  • Assist in budget monitoring, creates reports and monitors expenditures. Processes expense claim forms for Registrar/CEO signature
  • Co-lead, and develop or oversee the logistics and planning related to seasonal events involving all members of the Regulatory Hub, ensuring positive outcomes and cultural alignment
  • Coordinate the review, processing and tracking of Board packages and reports, and updates and maintains Board related content on the College's website

Your education & skills:

  • Business administration or office administration degree, or a diploma plus an equivalent combination of administrative and technical skills and experience
  • 5 to 7 years of experience in progressively senior administrative positions
  • Experience providing support to employees at the senior leadership level and to a board of directors an asset

Skills

  • Advanced knowledge and experience using all applications of the latest version of MS Office, SharePoint, Adobe Acrobat, One Note and MS Dynamics CRM
  • Excellent verbal and written communications skills
  • Proven ability to demonstrate tact and discretion in preparing, disclosing and handling information of a confidential and/or sensitive nature
  • Excellent interpersonal skills to provide effective administrative support at a senior management level
  • Excellent organizational skills and attention to detail
  • Proven ability to multi-task and prioritize workload and to work under pressure to meet deadlines
  • Ability to demonstrate flexibility to changing priorities or changing situations and to new ideas and concepts
  • Ability to work independently or collaboratively as required
  • Demonstrated experience producing digitally based materials and resources
  • Demonstrated systems knowledge related to the role of Executive Assistant/Coordinator within a technologically progressive environment
