The BC College of Nursing Professionals (BCCNP) has an opening for a Facilities Coordinator in our downtown Vancouver office. This is a six month temporary role. This role reports to the Manager, Operations and is an integral part of the Facilities team. This is a unique opportunity as it supports multiple organizations within the Regulatory Hub at 200 Granville. This will be an exciting role for someone who enjoys challenging work and can plan, prioritize and organize a diverse workload in a fast-paced environment.

What will you be doing?

Reporting to the Manager, Operations, your role will be to provide facilities and operations support to BCCNP and to the organizations within the Regulatory Hub at 200 Granville through the provision of office services. This role is responsible for ensuring meeting rooms are appropriately configured and in good order, and coordinating and undertaking building maintenance activities. You will work with staff throughout the organizations to support their needs and to communicate policies and procedures.

Externally, you will interact with vendors to coordinate office services and building maintenance.

Responsibilities include:

  • Tracking, managing and prioritizing facilities incidents and requests in the online ticketing system.
  • Liaising with meeting owners to ensure that meeting rooms are set up as per meeting requirements and performs pre-meeting room set-up (connects cables, physically moves tables and chairs, ensures appropriate technology and meeting supplies are present, etc.). Patrols meeting rooms daily to ensure they are clean and in good order.
  • Working with Helpdesk to ensure that equipment connects appropriately to BCCNP's network and is aligned with BCCNP's technology and operations.
  • Arranging for maintenance of furniture and office equipment.
  • Assisting with managing vendor relations including liaising with tradespersons and suppliers to ensure the organization's needs are assessed, scoped and work required is completed.
  • Monitoring expenditures and supplies, obtaining quotes and preparing summaries for new or replacement equipment purchase.
  • Creating inventories of all assets and equipment, and assisting in determining pricing for assets that need to be sold.
  • Assisting new Regulatory Health Colleges moving to the Hub by: arranging and facilitating building tours, providing parking information, giving advice on furniture/equipment disposal, recommending moving company options, and providing other help to ensure a smooth transition into our office space.
  • Providing assistance in addressing Occupational Health & Safety (OHS) concerns and incidents and providing solutions.

Your education and skills:

  • Facilities diploma, or equivalent education and experience. Bachelor's degree is an asset.
  • Minimum of three years' experience in a similar role with increasing responsibility.
  • Excellent interpersonal and communications skills (both written and verbal).
  • Ability to build and maintain relationships through a customer-focused approach, and ability to negotiate with vendors.
  • Demonstrated ability to plan, prioritize, and accomplish goals.
  • Problem-solving, negotiation and influence skills to minimize and mitigate confrontation between individuals and groups.
  • Ability to work independently and as a team member.
  • Advanced proficiency with Microsoft Office, including Excel, Word, and Outlook.
  • Ability to work outside of regular work hours, on occasion, to ensure business needs are met.
  • Rotating on call requirement for building-related emergencies.
  • Ability to lift up to 20kg is a requirement for this job.
