Are you a strong administrative professional with great organizational and interpersonal skills? Do you enjoy coordinating event and meeting logistics, travel planning, supporting executives, committee and board members? If you are proactive with strong task management skills and a keen eye for detail, this full-time opportunity may be for you. This role will support two departments: Strategy & Governance, and Regulatory Compliance, and is responsible for providing executive support to the Chief Officers in the two departments and administrative support to committee and board members including calendar, financial and travel management, meeting coordination, and document preparation and management. In addition, this role will work closely with the Executive Coordinator to provide administrative support to the Executive Office.

Responsibilities

  • As recorded in the Collective Agreement with MoveUP Together (COPE Local 378), the responsibilities of the role will include the following:
  • Providing administrative support, including drafting agendas, taking minutes, scheduling meetings and appointments, editing and formatting documents, preparing reports, records, statistics and statements, meeting minutes and other written materials
  • Planning events such as board meetings, conferences, focus groups, general meetings, and travel – confirming attendees, booking meeting rooms, flights, hotel reservations, catering, etc
  • Creating, processing and maintaining a wide variety of files, shared inboxes, electronic records, spreadsheets and related materials in accordance with BCCNP policies and procedures
  • Processing a variety of financial transactions, including preparation and submission of receipts, expenses, invoices, bills and purchase orders
  • Performing data entry to process materials such board and committee member records, and financial information.
  • Maintaining confidentiality

Educations, qualifications and skills

Our ideal candidate will:

  • Have at least four years of related experience, and carry at least a secondary, high school diploma and business college certificate, or equivalent
  • Demonstrate advanced skills in standard office software applications, in particular, Microsoft Office Suite (SharePoint, Word, Excel, PowerPoint, Outlook and Visio)
  • Be able to type at least 60 wpm
  • Ability to deal effectively and efficiently with board members and staff
  • Demonstrate ability to organize and prioritize own work with minimal supervision
  • Maintain confidentiality and discretion of information received while performing regular work functions
